Every valid inquiry submitted through the published property website is saved on its Leads page. Use the inbox to review contact information, follow up, organize the lead, and export records.
Open the lead inbox
- Open My Websites.
- Select the website.
- Select Leads from the website navigation.
The summary shows:
- Total leads β all non-deleted leads for the website.
- New this week β leads received during the last seven days.
- Qualified β leads currently marked Qualified.
- Visitor β lead rate β submitted leads compared with measured website visitors for the selected conversion period.
If visitor tracking is incomplete, the conversion rate may be unavailable or may not match the number of form submissions. <Screenshot: Leads page overview showing Total leads, New this week, Qualified, Visitor-to-lead rate, and the lead table.>
Find and filter leads
Use the status tabs to show All, New, Contacted, Qualified, Closed, or Spam leads.
You can also:
- Search by lead name or contact information.
- Show only starred leads.
- Filter by inquiry source, such as a property inquiry or private tour request.
- Sort the visible table by lead, score, or received date.
- Change the conversion window shown in the summary.
The count on each status tab shows how many leads are in that group. <Screenshot: Leads inbox showing status tabs with counts, search, starred filter, inquiry-source filter, sorting, and conversion-window control.>

Open a lead
Select a lead row to open its details.
The details panel can include:
- Name, email, and phone number.
- Property and inquiry source.
- Date and time received.
- Submitted message and requested tour date.
- Answers to additional form questions.
- Lead score and the reasons behind it, when scoring is available.
- Private owner notes.
Use the email action to start a reply in your email application. Notes are visible only inside your ApplyDesign account. <Screenshot: Lead details panel showing contact information, source, received date, message, lead score reasons, notes, and email action.>

Update the lead status
Change a lead to the stage that matches your follow-up:
- New β not yet handled.
- Contacted β you have started the conversation.
- Qualified β the inquiry appears to be a serious opportunity.
- Closed β the inquiry no longer needs active follow-up.
- Spam β the submission is not a genuine lead.
Keeping statuses current makes the summary and filters useful for everyone managing the listing. <Screenshot: Open lead details panel with the status selector expanded to New, Contacted, Qualified, Closed, and Spam.>

Star, select, and manage several leads
Use the star control for leads that need attention. Use the checkboxes to select several visible leads, then choose a bulk action such as:
- Mark contacted.
- Export.
- Delete.
Starred state is stored in the current browser, so it may not appear on another device. <Screenshot: Leads table with several rows selected and the bulk Mark contacted, Export, and Delete actions visible.>

Export leads
Select Export CSV to download the matching lead records. A CSV file can be opened in Excel, Google Sheets, or imported into many contact-management tools.
Review the active filters before exporting so the file contains the intended group.
Treat exported files as customer data. Store and share them securely. <Screenshot: Leads page with filters applied and the Export CSV action visible above the matching records.>

Delete and recover a lead

Deleting a lead removes it from the normal inbox. When the undo message appears, select Undo immediately if the deletion was accidental. <Screenshot: Leads inbox immediately after deletion with the Undo confirmation message visible.>

How new-lead notifications work
The lead is saved before ApplyDesign attempts notifications. A temporary email or integration problem does not remove the lead from the inbox.
Agent notification recipients come from the agent profiles in the website editor. Make sure each intended agent has the correct lead-recipient email before publishing. <Screenshot: Agent profile editing panel showing the public agent details and lead-recipient email field.>

If a submitted inquiry is missing
Check the following:
- Confirm the visitor used the published website, not an editor preview.
- Confirm the Contact section was visible in the published version.
- Refresh the Leads page after a few seconds.
- Remove filters that could hide the submission.
- Check the Spam tab.
- Confirm the website is still published and the form displayed a success message.
If the form showed an error instead of success, the visitor should retry. Contact ApplyDesign support if valid submissions continue to be missing.
